Nookal: the Last Attendances report
Nookal has a report built for reactivation, and it says so in its own description. Here's the click path, the columns it gives you (mobile and last appointment included), the tick box that quietly adds the wrong patients, and how bulk messages handle consent.
Nookal's help centre describes the Last Attendances Report in one line that most vendors won't write: "Generate this report to identify Patients to be contacted for rebooking and to ensure completed treatment and retention of Patients." It's the lapsed list, named as such, with the mobile number in it. Nookal is common in physio and allied health and shows up in cosmetic clinics too, and the report works the same in both.
Labels below are quoted from support.nookal.com with the article's updated date.
The report
Reports → Marketing Reports → Last Attendances Report. Nookal's definition: "The Last Attendances Report lists Patients seen within a date range without a future booking scheduled" (Last Attendances Report, updated 25 August 2026).
Filters, as documented:
- Date: "Date of the Last Booking (including Services and Classes)". Set it to the window you want, say 24 months ago to 3 months ago.
- Location: location of the last booking.
- Providers: all, or specific providers, "to display Patients that had their last booking with the providers".
- Attendances per Provider: a tick box, explained below.
- Exclude Discharged Cases: "display only Patients with active Cases that had their Last Booking within the timeframe".
Columns, as documented: Name; "Last Appointment: Date and time of the Last booking of the Patient (exclude DNA and Cancellation)"; Type (service or class); Location; Payment Type (private vs third-party payer); Case; Case Status (active vs discharged); "Mobile: Mobile Number of Patient"; "Email: Email address of Patient".
That's every column you need for a reactivation list in one report, with no-shows and cancellations already excluded from the last-appointment date. The docs don't state whether this report exports to CSV; the client export in the next section is the documented spreadsheet route.
The tick box that adds the wrong people
Nookal's own warning on "Attendances per Provider": with it ticked, "a Patient with more recent bookings or with future bookings, but with a different provider, can be displayed in the report, so use with care when using this report for follow up or reactivation calls."
In plain terms: tick it and the report shows patients who've stopped seeing one practitioner but are still seeing another. They're not lapsed. Texting them "we haven't seen you in a while" when they were in last Tuesday is the fastest way to look like you don't know your own patients. Leave it unticked for reactivation.
The Exclude Discharged Cases box is worth thinking about the other way. For physio, a discharged patient whose plan finished is a different message from one who dropped off mid-plan (why physio patients stop after two or three sessions). Run the report twice, once each way, and you've split the list.
Exporting client details
For a spreadsheet: "Go to Manage. Click Export under Data. Select Clients from which Locations will be exported ... Select Client Data as the Type ... Click Enqueue Data. The file will be displayed in the Exported data table with the status Queued until ready to be downloaded. Click Download once the CSV file export is completed" (Exporting a List of Client Details, updated 10 November 2025). A note from the same page: the location filter "doesn't filter where clients attended consultations or classes", only where they're enabled.
The documented columns of that export aren't listed, so match it against the report by name if you need both.
Sending from Nookal: bulk messages and consent
Manage → Communications → Bulk Messages → Create Bulk Message. Two rules Nookal puts in bold at the top: "Bulk Messages will only send to Patients who have completed/invoiced Bookings in the selected date-range" and "Bulk Messages can only be sent to Patients that have consented to receive Email or SMS Marketing or Reminders. You can update a Patient's consent via the checkboxes in their Patient Profile" (Sending Bulk Messages, updated 24 August 2026).
The audience is built by "Patients who had a Service or Patients who had a Class", specific services or classes, locations, providers, a date range for the bookings, and a consent type. Then SMS or email: "Email messages are free of charge. SMS messages have fees. Credits must be purchased before sending SMS messages." Placeholders personalise the patient and location. The preview shows the recipient count and credits before you send.
Two things to notice. First, the consent gate is done for you, which is better than most systems, but it's Nookal's tick box, not the law's test. A tick for "Reminders" is consent to reminders about their care; it isn't consent to a promotion. The OAIC's line is that direct marketing using health information needs consent, while recalls tied to the service the patient had can usually rely on implied consent (OAIC). Pick the consent type that matches what the message is. Second, the bulk-message audience is "had a Service in a date range", not "no future booking", so a patient booked in for next week can still receive it. Cross-check against the Last Attendances Report, or use Nookal's recalls, which are campaign-based and consent-gated the same way (Creating recalls).
Neither the Spam Act nor the ACMA is named in the fetched Nookal pages. The rules guide covers what the software's tick box doesn't.
What to do on Nookal
Run Last Attendances with a 3-to-24-month window, the provider box unticked, and discharged cases handled deliberately. Sort by last appointment, most recent first. Send the first 50 from the provider they saw, as a plain recall about their own treatment, with a STOP line (templates). Have that provider, or the front desk, answer the replies that day. Nookal has done the list and the consent gate. The bookings are in the replies.
Questions owners ask
Does the Last Attendances Report show mobile numbers?
Yes. Nookal's help page lists Mobile and Email columns alongside Name, Last Appointment, booking type, location, payer, case and case status.
Can Nookal text the patients on the report?
Bulk Messages under Manage → Communications can send SMS or email to patients with completed bookings in a date range, filtered by service, location and provider. Nookal's docs say they only go to patients who have consented via the checkboxes in their profile, and SMS needs pre-purchased credits.
